Month-by-Month Guide

The Dean of the Faculty's month-by-month guide helps department chairs and center directors manage deadlines, salary increases, sabbaticals and more.

  • Teaching and advising award nominations are due to the Dean of the Faculty
  • Chairs are asked to submit requests for faculty searches in the next year.
  • Dossiers for senior lecturer reappointments and reappointments of assistant professors with January 1 start dates are due.
  • Call for applications for faculty development funds and lectureship funds are sent to faculty 
  • Call for nominations for Named Assistant Professorships and Royce Professorships sent to chairs and directors 
  • Performance appraisals launch in Workday
  • Graduate student Dissertation Completion Proposals are due
  • Summer appointments for graduate students are due to the graduate school
  • Program applications for new semester I proctorships are due to the graduate school.
  • Final exam report on course offerings for spring are distributed
  • Graduate school admission offer notification deadline.
  • Deadline for creating or modifying online course evaluation forms.
  • Applications for faculty development funds and lectureship funds are due (from individual faculty)
  • Nominations for Named Assistant Professorships and Royce Professorships are due
  • Performance appraisals due to UHR

April-May:

  • Staff salary review process takes place.
  • Departments are notified about search approvals for the following year.
  • Departments are notified about their budget/special funding requests.
  • Chairs typically arrange for administrative assignments (DUS, DGS, etc,) for the following year
  • Excellence in Research Mentoring for Undergraduates Nomination due to the College
  • Deadline for graduate programs to notify the graduate school of a new DGS, and set an online application cutoff for graduate admissions for the following year.
  • Fall appointments for graduate students due to the graduate school.
  • All graduating students’ final grades are due.
  • Faculty proof for candidates for degrees distributed.
  • Commencement
  • Reports of Humanities Research Funds due to Office of the Vice President for Research (OVPR).
  • Deadline to notify graduate students of the potential for removal from program before the start of the spring semester.
  • Course syllabi for fall semester due one week before courses begin (https://coursetools.brown.edu)
  • Graduate school meeting with chairs and directors of graduate study
  • Monthly Provost meetings and DoF lunches begin.
  • TPAC workshop for chairs and department managers
  • Reappointment dossiers for lecturers and assistant professors (with July 1 start dates) are due to TPAC
  • Faculty Search Committee training sessions for faculty hosted by DOF and OIED
  • Graduate student degree conferral for October graduates
  • Annual reviews of untenured faculty due to the office of the Dean of the Faculty.
  • Reappointment or promotion dossiers for TPAC due for some faculty. (Some will be due in the spring.)
  • Graduate student evaluations and appointment projections due via Graduate School Information System (GSIM).
  • Course proposals due in order to meet November pre-registration publication deadline
  • Final exam report on course offerings for fall is distributed 
  • Graduate program appointments for semester II are due
  • Clearance forms for probable December graduates are due
  • Deadline for creating or modifying online course evaluations in Banner
  • Preliminary reports for the Humanities Research Fund for the coming year are due to OVPR
  • Begin building course offerings for the next AY in Banner Web
  • Proposals for College Course Development Funding for the next AY available in UFunds.
  • Teaching assignments for the following year are typically made. (Deadlines for inclusion in Banner are set by the Registrar. New course approval deadlines are set by the College Curriculum Council.)
  • First-year seminar course proposals for next academic year are due
  • DoF asks faculty to update their professional information in the Faculty Activity Report for the salary increase process
  • Dossiers for promotions are due to TPAC
  • Course syllabi for spring semester due one week before classes begin (https://coursetools.brown.edu
  • Sabbatical/other leave requests and course buyout forms submitted to chairs 
  • Chairs submit faculty leave requests to the DOF
  • Dossiers for tenure cases are due to TPAC
  • Nominations for named fellowships for incoming graduate students are due.
  • Tenure Process Workshop for junior faculty members
  • Budget templates are sent out to chairs, directors and department managers of academic units 
  • Graduate student degree conferral for February graduates
  • Chairs are provided with the online faculty salary increase tool
  • Budget templates are due the first week of February, and reviewed by Dean, Deputy Dean, and DOF Senior Analyst 
  • Call for teaching excellence and advising award nominations sent to chairs and directors 
  • Chairs meet individually with the Dean to review their salary submissions for their department faculty (this takes place from February through April) 
  • Staff self-appraisals launch in Workday
  • Chairs are asked to designate first-year, sophomore, concentration advisors, and directors of undergraduate studies to the College (30% of their roster FTEs).
  • Graduate School Meeting with Chairs and DGSs
  • Mid-February Deadline for Course Offerings to appear in University Bulletin/CAB 
  • Mid -February edits to University Bulletin due
